Comparing two approaches

Classti vs Excel and WhatsApp: when spreadsheets are enough and when you need a platform

Excel and WhatsApp are excellent tools, and where most schools started. The problem is not the tools but letting them become the school's operating system. This compares two categories, not two products.

In short

Spreadsheets are flexible and quick to start, but they do not enforce permissions, link attendance to fees or leave a reliable record. A platform adds that, in exchange for setup and training time.

Getting startedImmediate, nearly free, and the whole team knows it.Needs setup, a data import and short training.
AttendanceA sheet or file per class, combined by hand.Recorded from the teacher's phone, with notifications to parents.
FeesAn instalment sheet updated by hand, reminders by message.Instalment plans, overdue balances, reminders and online payment in one system.
E-invoicingA separate tool or separate entry.ZATCA (Phase 2) integration from the fees module, for schools in Saudi Arabia.
Parent communicationWhatsApp groups are flexible but open, and messages get lost.Notifications, an app and recorded chat inside the system.
Permissions and privacyWhoever holds the file sees everything, and access is hard to withdraw.Roles, permissions, an audit log and data separation between branches.
Record and auditDepends on who edited, usually no reliable trail. An audit log for sensitive operations.
Several branchesA file per branch and a manual merge.A group-wide view with per-branch reports.
CostNo subscription, but staff time and errors.A subscription quoted by module, in exchange for automation and reporting.

When your current way is enough

  • A very small school or centre with one or two classes and few students.
  • You do not collect fees in instalments and need no e-invoicing or online payment.
  • One person runs everything and nobody needs separate permissions.
  • You are testing an idea before investing in a system.

When moving makes sense

  • Parents keep asking about attendance, fees and the bus and answering takes the office's time.
  • Files multiply and the figures for attendance, fees and grades disagree.
  • More than one staff member needs different permissions, or you have branches.
  • You have an e-invoicing duty or must protect student data.
  • You want trustworthy reports for the owner without manual collation.

How to get started

  1. 1

    Start with one module

Usually attendance, leaving everything else as it is during the move.

  2. 2

    Import your data

From your current Excel files with ready templates and a review before go-live.

  3. 3

    Move communication gradually

Switch on the parent app and keep the group for general announcements.

  4. 4

    Add fees, then the rest

Once the team is steady on the basics.
